How to get proper invoices from OpenAI, Anthropic, Cursor and the rest
The AI tool stack has a bookkeeping problem nobody designed on purpose. You're paying for ChatGPT, Claude, Cursor, Perplexity and a handful of API accounts — small amounts, monthly, on a personal-looking card charge. Then your accountant asks for the invoices and you discover that half of these products email you a receipt, not an invoice, and the other half email you nothing at all.
This guide covers where each tool actually keeps its billing documents, why the receipt you got probably isn't deductible as-is, and what to change once so you stop repeating the hunt.
Receipt vs. invoice: why it matters
A receipt proves you paid. An invoice proves what you bought, from whom, with which tax treatment — and in most countries that's what your accountant needs to book the expense and reclaim VAT. A payment confirmation with no VAT line and no company details usually doesn't qualify.
Most AI tools default to a personal subscription. If you never entered your company name and VAT ID, the documents are issued to you personally — and reissuing them for past months ranges from awkward to impossible.
Where each one hides the document
- ✓OpenAI / ChatGPT — Settings → Subscription opens a billing portal with a payment history; each entry has an invoice PDF. API usage bills separately from the ChatGPT subscription, so check both.
- ✓Anthropic / Claude — billing settings link to a portal with the same layout; Console (API) and Claude subscription are again two separate billing relationships.
- ✓Cursor, Perplexity, Linear, and most small SaaS — the same portal, because they all sit on the same billing infrastructure. If you recognise the layout, you already know where to click.
- ✓Cloud and infra (AWS, Vercel, Cloudflare, GitHub) — these do issue real invoices, but each in its own console, on its own schedule.
The pattern you'll notice: most of these portals look identical because most of these companies bill through Stripe. That's the good news — the document is always there, always a PDF, and always reachable from the email you already received.
Fix it once: turn subscriptions into business subscriptions
In each tool's billing settings, set the company name, address and VAT/tax ID. From the next billing cycle the documents are issued correctly — this is the step that actually saves money.
Point every tool's billing contact at a single address you control, e.g. invoices@yourcompany.com. Mixed into a personal inbox, these emails are unfindable by month three.
